1. Who We Are

Plan X Prep Ltd (Company No. 16710082), registered in England & Wales, runs the Plan X Prep iPhone app and planxprep.com. We are the data controller for the personal data described in this policy ("we", "us", "our").

2. The Short Version

• We use what you tell us to work out your targets and build your meal plan and shopping list.
• We don't sell your data, and we don't use it for advertising.
• Your account data is stored on servers in London, UK.
• If you chat with Preppy, our AI kitchen assistant, some details of your plan are sent to Anthropic to write the reply (section 5).
• Apple Health is optional. If you switch on Steps or Workouts and tap Sync Now, the last 7 days of those are saved to your account (section 4).
• You can delete your account in the app at any time (section 13).

3. What We Collect

Account details

Your name, email address and password. Passwords are stored in scrambled (hashed) form, never as plain text. If you use Sign in with Apple or Sign in with Google instead, we receive the name and email address Apple or Google shares with us. We also give your account an ID number.

About you, to work out your targets

Age, gender, height, weight, daily activity, how often you exercise, your goal, pace and target weight, your macro split (for example Balanced, High Protein or GLP-1 Support), training days and carb cycling if you use them, low-sugar mode, and your daily step and water goals.

Food and shopping preferences

Your diet (for example vegetarian), allergies, foods you don't eat, cuisines you like, cooking style, breakfast and snack choices, weekly budget, supermarket, meal schedule and plan start day.

Children

If you add children to your plan, we store each child's age group, diet, allergies and foods they don't eat. We don't ask for their name or date of birth. See section 15.

Your plans and kitchen

Your meal plans and swaps, meals you tick off, shopping lists and what you've bought, items you add to your fridge, freezer and pantry, and recipes you favourite or block.

Weight check-ins and progress photos (optional)

Weights you log, and progress photos you choose to take or pick from your photo library. Photos are kept in private storage that only your account can open, and we don't share them with anyone.

Apple Health (optional)

See section 4.

Preppy chats

See section 5. Your chat history is kept on your phone. We don't save your Preppy conversations on our servers, but we do count how many messages you send each day so we can apply the daily limit.

Feedback

If you send us feedback or a bug report in the app, we store your message with your app version, iOS version and the screen you sent it from, and email a copy to our support inbox.

Subscription

Apple takes your payment through the App Store. Through RevenueCat we see which plan you're on, whether you're in your free trial, and whether your subscription is active or has ended. We never see or store your card details.

Emails

A record of which emails we've sent you, and when.

Usage and crash data

Which screens you open and key actions (such as building a plan or starting a trial), crash and error reports, and app performance timings. These are linked to your account ID (see section 8). Like any internet service, our providers also receive standard technical details from your phone, such as its model, iOS version and IP address.

Website visitors

If you join our waitlist, we store your email address, your name if you give it, and which link brought you to us (for example a TikTok or Instagram link), and we send you a welcome email and one when the app launches. If you join a gym's or coach's organisation through its invite link on our website, you create your Plan X Prep account there with your name, email address and password. Our website host keeps standard server logs, such as IP addresses and the pages requested.

4. Apple Health

Connecting Apple Health is optional. You choose what to connect in the app under Settings > Health. If you connect Apple Health while setting up the app, we switch on weight sharing and Steps for you, and you can change either at any time.

What we write to Apple Health

If you switch them on: the weights you log, and the calories, protein, carbohydrates and fat from your meals.

What we read from Apple Health

Your step count and, if you switch it on, your workouts. We don't read anything else.

What stays on your phone

Today's step count on your Home screen is read from Apple Health on your phone each time, and isn't sent to us.

What's saved to your Plan X Prep account

If Steps or Workouts is switched on and you tap Sync Now (in Settings > Health), we save the last 7 days of:

• Steps: your step count for each day
• Workouts: each workout's type (such as running), date, length, calories burned and distance

This is saved so your activity is kept with your account. Nothing in the app uses these saved records at the moment: they don't change your targets or your meal plan. They're deleted when you delete your account.

Apple Health data is never used for advertising, never sold, and never sent to Preppy or to our analytics or error-tracking providers. You can grant or remove access at any time in iOS Settings > Health > Data Access & Devices > Plan X Prep.

5. Preppy, Our AI Kitchen Assistant

Preppy is powered by Claude, made by Anthropic. Each time you send Preppy a message, we send Anthropic:

• Your message, and up to 10 earlier messages from the same chat (yours and Preppy's)
• Any photo you choose to attach
• Your diet and allergies. If you share a household, we also send the allergies of your partner and any children on your plan, so Preppy doesn't suggest something that isn't safe for someone at home
• Whether you're on a Duo plan
• Your daily calorie, protein, carbohydrate and fat targets
• If you use the GLP-1 Support plan, a note telling Preppy you take GLP-1 medication, so its advice fits
• Your weekly budget and supermarket
• Up to 10 favourite and 10 blocked recipes
• This week's meal plan (meal names for each day), the ingredients it uses, and, for the day you're looking at, each meal's calories, protein, cooking times and main ingredients
• How much of your shopping list you've bought, and up to 15 items on it
• Up to 20 items from your fridge, freezer and pantry, with how many days each has left

We don't send your name, email address, account ID, age, height, weight, weight history, Apple Health data, progress photos or your children's ages.

Under its commercial terms, Anthropic doesn't use this to train its models, and deletes it within 30 days, unless it needs to keep it longer to enforce its usage policy or to comply with the law. If our allergy safety check stops one of Preppy's replies, our system logs briefly keep a short extract of that reply.

Your meal plans aren't made by AI. They're built by our own planning software from our recipe library, and nothing is sent to an AI provider when your plan is built.

6. How We Use Your Data

• Work out your daily calorie and macro targets
• Build your weekly meal plan and size portions for everyone in your household
• Keep recipes that you, your partner or your children can't eat out of your plan
• Build your shopping list with estimated supermarket prices
• Run Preppy
• Run your account, free trial and subscription
• Send you emails (below)
• Fix crashes and errors, and improve the app
• Answer your feedback and support requests

Emails. We send emails about your account and plan: a welcome, when your first plan is ready, trial and billing updates, cancellation confirmations, partner invites, and a receipt if you delete your account. We also send occasional emails about using the app, such as a weekly summary or a reminder if you haven't built a plan. You can stop these at any time with the unsubscribe link in the email or by emailing us. The account-deletion receipt is always sent.

We don't sell your data, and we don't use it for advertising.

7. Sharing in Your Household or Organisation

Duo households

If you share a Duo plan, you and your partner see the same meal plan and shopping list, and the same children's details. Each of you can see the other's name, email address, diet, allergies, foods they don't eat, and daily calorie and macro targets. Your height, weight, weight check-ins and progress photos aren't shared.

Gyms, coaches and employers

If you join Plan X Prep through an organisation, such as a gym, a coach or an employer, that organisation's admins can see your email address, goal, pace, macro split, daily calorie target, diet, allergies, foods you don't eat, how your calories are split across meals, and when your last plan was built. They can also change your targets and dietary settings. An organisation can see and change the same details through our API if it connects its own systems.

8. Analytics and Error Tracking

PostHog (product analytics)

PostHog tells us which screens are used and which key actions happen (such as building a plan or starting a trial), so we can improve the app. Events are linked to your account ID, not your name or email address. That means they're pseudonymised, not anonymous: we could link them back to your account. PostHog doesn't receive your body details, allergies, targets or the contents of your plan. Data is stored in PostHog's EU data centre.

Sentry (crash and error reports)

Sentry receives crash and error reports and app performance timings, linked to your account ID. We've switched off Sentry's option to collect IP addresses and other personal details automatically, and we don't send it your name or email address. Data is stored in Sentry's EU data centre.

9. Legal Basis for Processing

• Contract: to provide the service you signed up for, including your account, targets, meal plans, shopping lists, household features, Preppy and your subscription
• Legitimate interests: keeping the app secure and working, understanding how it's used so we can improve it, answering feedback, and sending you emails about using the app (you can opt out at any time)
• Consent: connecting Apple Health, progress photos, and waitlist emails. Each is something you choose to switch on or sign up for, and you can stop at any time

Some of what you tell us can say something about your health, for example your weight, your allergies, or choosing the GLP-1 Support plan. We use it only to provide the features described in this policy.

10. Who We Share Data With

We use the following providers to run Plan X Prep. Each one handles your data on our behalf, only for the purpose shown.

Apple takes App Store payments and runs Sign in with Apple, and Google runs Sign in with Google. They do this under their own privacy policies. Apple Health data is held by Apple on your phone.

When you choose a password, the app checks it against Have I Been Pwned's list of passwords exposed in data breaches. Only the first 5 characters of a scrambled (hashed) version of your password are sent, never the password itself.

We don't sell your data to anyone.

11. International Data Transfers

Some of our providers are based in, or send data to, the United States. When your data leaves the UK, it's protected by safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum to standard contractual clauses, or the UK–US data bridge. Email us if you'd like details.

12. How Long We Keep Data

• Your account and everything in it (including steps and workouts saved with Sync Now, weight check-ins and feedback): until you delete your account
• Progress photos: until you delete them in the app (see section 13 for account deletion)
• Apple Health: what's in Apple Health stays on your phone, managed by Apple
• Preppy chats: the last 50 messages stay on your phone until you clear the chat or delete the app. Anthropic deletes what it received within 30 days (see section 5)
• Crash and error reports (Sentry): deleted automatically within 90 days
• Analytics (PostHog): PostHog keeps events for 1 year on its free plan and up to 7 years on its paid plans. Email us and we'll delete your analytics record sooner
• Email log: our record of which emails we sent to which address isn't deleted with your account. Email us and we'll remove it
• Waitlist: until you unsubscribe or ask us to remove you
• Backups: deleted data can stay in our database provider's backups for up to 30 days before it's overwritten

13. Deleting Your Account

In the app

1. Open the Settings tab
2. Tap Account
3. Tap Delete Account and confirm

By email

If you can't get into the app, email privacy@planxprep.com from the email address on your account, with the subject line "Account deletion request". We'll delete your account within 7 days.

What's deleted straight away

Your account and sign-in, and everything stored with it: your profile and body details, targets, preferences and allergies, meal plans, shopping lists, pantry items, favourites, weight check-ins, progress photo records, steps and workouts saved from Apple Health, feedback, and your subscription status. We also ask RevenueCat to erase your customer record, and we email you a receipt.

What isn't deleted automatically

• Progress photo files: deleting a photo in the app removes the file straight away, but deleting your account removes the photo records, not the image files themselves. Email privacy@planxprep.com and we'll delete any remaining files
• A shared Duo household: the shared plan, shopping list and children's details stay with your partner, who becomes the household's owner. Your own details are deleted
• Your App Store subscription: deleting your account doesn't cancel it. Only you can, in Apple's subscription settings, and the app reminds you before you delete
• Backups: up to 30 days, as above
• Analytics and error reports: these are linked only to your account ID, which no longer matches anyone once your account is deleted. They're removed on the timescales in section 12, or sooner if you ask
• Email: our email log (section 12) and any emails you've sent us. Ask and we'll delete them
• Preppy chat history: this is on your phone. Clear the chat or delete the app to remove it
• Website waitlist: this is separate from your account. Use the unsubscribe link in our emails, or email us
• Apple Health: data we wrote to Apple Health stays there. Remove it with Apple's tools in iOS Settings > Health

14. Cookies and Browser Storage

Our website doesn't use advertising or tracking cookies, and doesn't run analytics. It saves a few small settings in your browser, for example that you've closed the cookie notice or already joined the waitlist, so we don't show them again.

15. Children

Plan X Prep is for adults aged 18 and over. Children can be part of a household plan set up by an adult. For each child, we store their age group, diet, allergies and foods they don't eat. We use the age group to size their portions, and their diet, allergies and dislikes to keep unsuitable recipes out of the household plan. Children's allergies are also included in the household allergy list sent to Preppy (section 5). You can change or remove children in Settings > Children.

16. Your Rights

Under UK GDPR and the Data Protection Act 2018, you have the right to:

• Access your personal data
• Correct inaccurate data
• Delete your data ("right to be forgotten")
• Restrict or object to processing
• Data portability: receive your data in a structured, machine-readable format
• Withdraw consent at any time (for Apple Health, progress photos and waitlist emails)

To use any of these rights, email privacy@planxprep.com. We'll respond within 30 days.

17. Changes to This Policy

We may update this policy from time to time. We'll tell you about important changes by email or in the app. Continued use of the service after changes means you accept the updated policy.
